Clinics on Embodia

The Clinic Manager determines which of these tabs the Clinic Admin can access. To learn more about setting permission for Clinic Admins, visit our help article, Setting permissions for the clinic admin.

The Clinic Admin can sign into their portal from the main page by clicking on Sign in > Clinic admin sign in:

After signing in, the Clinic Admin may see the following (please keep in mind that your Clinic Admin account may look slightly different. This is due to the permissions set on your account by your Clinic Manager):

  1. A list of all active practitioners that belong to the clinic (#1 in the image below);
  2. Consults tab (#2 in the image below);
  3. Patient invoices tab (#3 in the image below);
  4. Booking requests tab (#4 in the image below);
  5. The calendar view icon (#5 in the image below).

To manage the account of a practitioner, the Clinic Admin can click on the hyperlinked practitioner name (#6 in the image above).

The Clinic Admin can now Add a patient, Import patients, search for patients, view Active and Archived patients, and visit any patient profile.

Remember: these actions are specific to a given practitioner.

From the patient page, the Clinic Admin can view patient information including the Summary (#1 in the image below), Programs (#2 in the image below), Consults (#3 in the image below), Education (#4 in the image below), Progress (#5 in the image below), Billing (#6 in the image below) and Communication (#7 in the image below) tabs.

The Clinic Admin can also edit the patient information if the patient has not signed up yet by using the Other actions button (#8 in the image above).

If a patient is being seen by multiple practitioners in the same clinic, the Clinic Admin can share the patient's profile with the treating practitioners by clicking on Share with a colleague:

To schedule a consult, the Clinic Admin can click on Schedule a consult from the Consults tab in a patient profile.

The Clinic Admin can also use the calendar view to schedule a patient.

Here, the Admin will see all the practitioners in your clinic and be able to schedule a patient for any of the clinic practitioners. You can learn more about how to book clients using the calendar view in the help article, Using the calendar view.

From the calendar view, a Clinic Admin can search and manage the waitlist by clicking Search waitlist.
